Sales automation

AI sales automation consulting that keeps reps selling and inboxes out of spam

Our AI sales automation consulting decides which parts of your sales process should run on AI (account research, enrichment, sequencing, CRM updates, follow-up) and which must stay with your reps. It is for US sales leaders, founders and revenue operations teams who are pitched AI SDRs every week and want an independent view before signing. You get a process map, tool recommendations tested on your own target accounts, deliverability and compliance rules, and a measurement plan tied to pipeline.

Quick answer

What is AI sales automation?

AI sales automation uses AI tools to handle repeatable sales work such as researching accounts, enriching contacts, drafting personalized outreach, sequencing follow-ups, logging activity in the CRM and booking meetings. It works best when reps keep control of conversations, pricing and qualification, and when email and calling rules like CAN-SPAM and the TCPA are built in.

  • Automate research, enrichment and CRM hygiene first, because they carry the least risk.
  • AI SDR tools need deliverability setup and human review before sending at volume.
  • CAN-SPAM has no B2B exemption, and AI voices count as artificial under the TCPA.
  • Success is measured in qualified meetings and pipeline, not in emails sent.

01

Which parts of sales should AI sales automation handle first?

Start with the work reps dislike and buyers never see: account research, contact enrichment, CRM data entry and call notes. These save time without putting your brand or sender reputation at risk.

Salesforce's State of Sales 2026, a survey of 4,050 sales professionals in 22 countries, found that sellers spend 40% of their week actually selling. Much of the rest is preparation and admin, which is the opening. A practical first wave adds firmographic data to new accounts in HubSpot or Salesforce, writes a one-paragraph research brief before each discovery call, and logs call notes and next steps automatically.

List building is the next candidate. Our case studies include a sourcing consultancy where tools that found candidate suppliers and applied the client's screening rules cut scouting time by 85%. Prospect lists follow the same find-then-screen pattern, with your ideal customer profile as the screening rules.

02

Are AI SDRs worth it for a US business?

AI SDRs can pay off when you already have a clear ideal customer profile, an offer that converts and the technical setup to send safely. Without those three, they mostly send more of the wrong message, faster.

Products such as 11x, Artisan, Apollo, Instantly, Smartlead and Lemlist automate different slices of outbound, from list building to sending and reply handling. We assess them against your motion: deal size, sales cycle length, how personal the first touch must be, and how replies get routed to a person. The answer is often a hybrid. AI researches and drafts, a rep reviews the first batch of every new sequence, AI handles follow-up timing, and every positive reply goes straight to a human.

03

How do enrichment, sequencing and the CRM fit together?

Enrichment fills in who the buyer is, sequencing decides when and how they are contacted, and the CRM holds the single record of what happened. AI sales automation breaks down when those three disagree.

So we design the data flow before picking tools. Typically a list is built and enriched in Clay or Apollo, scored against your ideal customer profile, pushed into the sequencing tool with suppression lists applied, and written back to HubSpot or Salesforce with source, sequence and reply status. Duplicate checks, ownership rules and an opt-out field that syncs to every system are part of the design from day one.

  • Ideal customer profile definitions and scoring rules.
  • Field mapping between the enrichment tool, sequencer and CRM.
  • Suppression lists for current customers, open deals and opt-outs.
  • Reply routing so interested prospects reach a rep the same working day.
04

What email deliverability rules apply to automated outreach?

Gmail and Yahoo set minimum technical rules for every sender and stricter ones for bulk senders. Break them and outreach lands in spam no matter how good the copy is.

Since February 1, 2024, Google has required all senders to Gmail to have SPF or DKIM, valid forward and reverse DNS, TLS and a spam rate under 0.3% in Postmaster Tools. Anyone sending 5,000 or more messages a day to Gmail must add all three of SPF, DKIM and DMARC (p=none is acceptable), align the From domain, offer one-click unsubscribe and keep the spam rate ideally below 0.10%. Yahoo enforces a near-identical rulebook, and it expects one-click unsubscribe requests processed inside two days. Before any AI tool sends at scale, we set volume caps per inbox and domain, a warm-up schedule and spam-rate monitoring.

05

How do CAN-SPAM and the TCPA affect AI outreach?

CAN-SPAM covers commercial email, including B2B email, and the TCPA covers calls and texts. Both apply whether a person or an AI tool does the sending. This is not legal advice.

The FTC's CAN-SPAM compliance guide requires accurate headers, non-deceptive subject lines, identifying the message as an ad, a valid physical postal address and a clear opt-out honored within 10 business days, and you remain responsible for anyone sending on your behalf. Penalties can reach $53,088 per violating email.

For phone and text, the FCC's February 8, 2024 declaratory ruling treats AI-generated voices as artificial voices under the TCPA. Placing one of those calls to a cell or residential line requires prior express consent, and marketing calls raise the bar to prior express written consent. Our working rule: AI voice is for inbound calls, instant callbacks to people who asked to be contacted, and reminders, never cold AI-voice calls to consumers.

06

Where should humans stay in the loop?

People should own anything that commits the company or shapes a relationship: pricing, contract terms, qualification decisions, replies to interested prospects and the first review of every new sequence. AI prepares the ground around those moments.

We write this into a playbook: which messages may send without review, which need a rep's approval, what confidence level sends a reply to a human queue, and who checks a weekly sample of AI-written emails. LinkedIn stays manual in our plans because LinkedIn's terms prohibit automation tools; AI drafts the message and the rep sends it. Results are tracked as meetings held, opportunities and pipeline by source and sequence, compared with the baseline we record before launch.

FAQ

Frequently asked questions

Will an AI SDR replace our sales development reps?

Usually it changes their job more than it removes it. AI can take over research, list building and follow-up timing, while reps spend more time on live conversations and qualification. We recommend keeping a person on every positive reply.

Is B2B cold email legal in the US?

Commercial email to businesses is allowed under CAN-SPAM if you follow its rules: accurate headers, honest subject lines, a physical postal address and a working opt-out honored within 10 business days. There is no B2B exemption. This is not legal advice.

Can we use AI voice agents for cold calling?

The FCC ruled in February 2024 that AI-generated voices are artificial voices under the TCPA, so calls to cell phones or residential lines need prior express consent, and telemarketing calls need prior express written consent. We recommend AI voice for inbound calls, callbacks the prospect asked for and reminders.

Can AI automate LinkedIn outreach?

LinkedIn's help center says it does not permit bots or extensions that automate activity, and accounts that use them risk restriction or shutdown. We use AI to research prospects and draft messages, and reps send them from their own accounts.

How long before AI sales automation shows results?

Research and CRM automation can save rep time within the first weeks of use. Outbound results take longer, because new sending domains need warming up and sequences need enough volume to judge fairly. Review dates are written into the plan.

How much does AI sales automation consulting cost?

We quote one fixed price after a free review, based on team size, tools and channels in scope. Our AI consultant cost guide lists published consulting rates, and subscriptions for enrichment or sequencing software are billed to you by the vendors.
